To plan and produce rotas and support branches, as part of the HR team, by organising relief and locum resource to cover planned and unplanned absences.

To understand the resourcing needs of the company, on a permanent and temporary basis, and support branches with cover requirements.

To deliver high quality customer focused administrative support to our network of branches.

KEY RESPONSIBILITIES

RESOURCING

  • Review cover requirements across the network of branches
  • Assist with Dispensing Optician and Optometrist rotas and filling cover needs
  • Maintain regular contact with optical agencies, locums and branches
  • Help source new locums and coordinate experience days
  • Approve locum invoices in a timely manner
  • Maintain an updated list of locum contacts
  • Ensure that all locum bookings are added to the rota
  • Coordinate cover to enable staff to attend Leightons Academy courses
  • Create a log of lost and unfilled clinics and report this on a daily, weekly and monthly basis
  • Support the planning and implementation of members of the Relief/Mobile team for planned and ad hoc cover
  • Help maintain the Company holiday calendar and cover lists
  • Help with the planning and organisation of meetings and conferences when required
  • Delivery of ad hoc and planned projects in line with business priorities
  • Maintain high standards at all times of personal appearance, timekeeping, attendance and respect of company property
  • Operate in line with company policies, procedures, best practice and current legislation at all times

GENERAL

Requirements


  • Previous experience of working within an optical role is desirable
  • Proven work experience in administration and a role that includes rotas or scheduling
  • Exceptional organisational, administration and communication skills
  • Highly motivated, driven and a proactive team player
  • Keen innovator willing to bring new ideas to the role
  • Attention to detail
  • Ability to maintain confidentiality
  • Ability to prioritise and complete projects within deadline
  • Experience of using Microsoft Word and Excel
